Annual Leave

Application for annual leave should be submitted for approval in prescribed form seven ( 7 ) days in advance.

All confirmed staff shall be entitled to annual leave for each completed calendar year of service or prorated for any incomplete year.

All confirmed Management / Academic / Administrative/ Support / General staff will be granted paid leave according to the schedule below.

For Confirmed Staff Eligibility for annual leave at a particular time is normally prorated based on number of months served in that year against total entitlement of annual leave. Exception to the rule is subject to the sole discretion of Management.

For Staff on Probation Eligibility for annual leave is strictly prorated based on the number of months served in that year against the total entitlement.

Annual leave should be taken during the year in which it accrues.
However, where leave is unable to be taken during the year in which it accrues, the entitlement can be carried forward to the following year subject to the approval by the Management.
A maximum of twenty-eight (28) days or within staff member’s eligibility are allowed to be carried forward into the following year and, if unused, will automatically lapse except where exigencies of service do not permit the utilisation in part or full of this leave. Employees who wish to carry forward the balance of the annual leave shall do so with a written notice to the Human Resource Division at the end of the calendar
year. Carrying forward of unused leave is at the absolute discretion of Management.
Conference Leave*
All staff intending to attend a recognized academic conference approved by AIMST will be eligible for conference leave that includes the duration of the conference. In addition to that AIMST may consider granting one (1) day preceding and one (1) day succeeding the conference dates as conference leave depending on the location of the conference.
For overseas conference a maximum of three (3) days may be granted in addition to the actual duration of the conference.
Except in exceptional circumstances conference leave will be only granted to confirmed staff.
Sick Leave
Sick Leave is defined as leave which is granted upon the certification by a registered Medical Practitioner or a registered Dental Surgeon that a staff is medically unfit to work on any particular day.
All staff are entitled to the following paid sick leave in a year where NO HOSPITALIZATION is necessary on the recommendation of the AIMST appointed medical practitioner, any registered medical officer or general medical practitioner;

For Confirmed Staff
Eligibility for medical leave is normally prorated based on the number of months served in that year against the total entitlement of 10 days per annum for all staff. Exception to the rule is subject to the sole discretion of Management.
For staff on Probation
Eligibility for medical leave is strictly prorated based on the number of months served against maximum entitlement of 10 days.
Where Hospitalization is necessary, the period of paid sick leave can be extended up to sixty (60) working days, in any calendar year.
If medical leave exceeds sixty (60) days the staff concerned is entitled to half pay for the next two (2) months , a quarter for another two (2) months.
Staff whose medical leave exceeds six months would be considered to have resigned voluntarily.
Maternity Leave
A confirmed female staff shall be entitled to maternity leave (for not more than 5 surviving natural children) with full pay for a period of sixty days from the date of birth.
Leave on account of miscarriage, abortive measure of premature birth occurring during the first twenty-eight (28) weeks of pregnancy shall not be considered as maternity leave but as normal sick or hospitalization leave.
Paternity Leave
A male staff shall be granted paid paternity leave of one (1) day on the birth of his first five children;
Compassionate Leave
AIMST shall grant two (2) days paid compassionate leave to staff in the following circumstances :
a. Death of parents, children, spouse and siblings.
b. Emergencies such as fire or flood affecting the staff’s property.
The leave cannot exceed five (5) days per annum.
Unpaid Leave
Normally no-pay leave is not granted to staff;
However , in special circumstances, such as overseas study of courses relevant to the staff’s current and future employment with the University no-pay leave may be considered;
Approval for such no-pay leave is at AIMST’s discretion and shall be considered on a case-to-case basis.
For cases above, these would apply only to confirmed staff.
Absence Without Leave
Staff who are absent without leave i.e. absent without prior approval or permission under one of the above headings, is considered to have committed a serious breach of contract and shall be subject to disciplinary action.
